Protection of Personal Information (POPI) Manual

1. Introduction

This manual is prepared in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA) and the Promotion of Access to Information Act, 2 of 2000 (PAIA). It describes how Tericorp Training (Pty) Ltd collects, uses, stores, and protects personal information, and outlines the rights of data subjects.

Tericorp Training is committed to processing personal information responsibly, transparently, and in compliance with all applicable South African legislation.

3. Personal Information We Collect

Tericorp Training collects personal information necessary to provide training services, medical standby services, and emergency response services. This may include:

  • Full name and identity number
  • Contact details (telephone number, email address, physical address)
  • Employment information (employer name, job title)
  • Training history and certification records
  • Medical information where required for certification or standby services
  • Payment and billing information
  • HPCSA registration details for practitioners

4. Purpose of Processing Personal Information

Personal information is collected and processed for the following purposes:

  • Registering learners for accredited first aid and emergency training courses
  • Issuing certificates of completion and competency
  • Submitting learner data to the Quality Council for Trades and Occupations (QCTO) and the Department of Labour as required by law
  • Providing medical standby and on-site emergency response services
  • Processing payments and maintaining financial records
  • Communicating course schedules, updates, and promotional information
  • Complying with legal and regulatory obligations

5. Lawful Basis for Processing

Tericorp Training processes personal information on the following lawful grounds:

  • Consent – where the data subject has given voluntary, specific, and informed consent
  • Contractual necessity – where processing is required to fulfil a training or service agreement
  • Legal obligation – where processing is required to comply with applicable laws and regulations, including QCTO and Department of Labour reporting requirements
  • Legitimate interest – where processing is necessary for the legitimate interests of Tericorp Training and does not unduly prejudice the data subject

6. How We Collect Personal Information

Personal information is collected through:

  • Course enrolment forms (paper and electronic)
  • Contact and enquiry forms on this website
  • Direct communication (telephone, email, in person)
  • Third parties such as employers who enrol staff on behalf of learners

7. Sharing of Personal Information

Tericorp Training does not sell personal information to third parties. Personal information may be shared with:

  • The Quality Council for Trades and Occupations (QCTO) for learner registration and certification purposes
  • The Department of Labour as required by accreditation conditions
  • The Health Professions Council of South Africa (HPCSA) where applicable
  • Service providers who assist in delivering our services (e.g., payment processors), bound by confidentiality agreements
  • Law enforcement or regulatory bodies where required by law

8. Cross-Border Transfers

Tericorp Training does not routinely transfer personal information outside the Republic of South Africa. Where such a transfer is necessary, it will only occur where the recipient country provides an adequate level of protection, or the data subject has consented, or another lawful ground applies under POPIA.

9. Retention of Personal Information

Personal information is retained for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Training records and certification documents are retained for a minimum of five (5) years to satisfy accreditation and regulatory requirements. Financial records are retained for seven (7) years in accordance with the Companies Act.

10. Security Measures

Tericorp Training takes reasonable technical and organisational measures to protect personal information against loss, unauthorised access, destruction, use, modification, or disclosure. These measures include:

  • Restricted access to personal information on a need-to-know basis
  • Secure storage of physical records
  • Password-protected digital systems
  • Regular review of security practices

11. Rights of Data Subjects

Under POPIA, you have the following rights in respect of your personal information:

  • Right of access – to request a copy of the personal information we hold about you
  • Right to correction – to request that inaccurate or incomplete information be corrected
  • Right to deletion – to request deletion of your personal information where there is no lawful basis for continued processing
  • Right to object – to object to the processing of your personal information in certain circumstances
  • Right to withdraw consent – to withdraw consent at any time where processing is based on consent, without affecting the lawfulness of prior processing

12. Complaints

If you believe that Tericorp Training has interfered with the protection of your personal information, you may lodge a complaint with our Information Officer in the first instance. If the matter is not resolved to your satisfaction, you have the right to lodge a complaint with the Information Regulator of South Africa:
